    Instructions to Complete the Form I-9

    To complete your MBO Partners enrollment, MBO must receive a completed and signed Form I-9. You should have received an email with instructions to complete the Form I-9. If you have not received this email or if you have questions on this process, please contact your MBO Enrollment Manager.

    Please follow the instructions below to complete the Form I-9 process. Click the hyperlinks below to jump to instructions for the three main sections.

    Section 1 - You must complete

    Section 2 - Complete with an Authorized Representative

    SECTION 1: You must complete

    1. Receive an enrollment email to start the Form I-9 process.

    Open the email your MBO enrollment manager sends to you.

    2. Click the embedded link in the enrollment email to access the online I-9 system.

    After clicking the link, follow the on-screen instructions to proceed.

    Note: To fully complete the I-9 process, you will need to have access to the required documents and be in the presence of an Authorized Representative. While you can complete Section 1 of the I-9 process alone, your Authorized Representative will need to review your documents in person to complete Section 2. Then you'll need to upload scanned copies of the documents to the online system. Your Authorized Representative must be at least 18 years old and able to understand the Form I-9 instructions written in English. To expedite this process, we recommend you complete Section 1 in the presence of your Authorized Representative, so they can immediately complete Section 2 with you.

    3. Click the "Get Started" button on the Welcome to the Form I-9 Process page.

    4. Fill in your information on the page that appears to complete Section 1.

    You'll need to fill in all relevant fields in Section 1 of the Form I-9. If a field does not apply and there is a N/A box to the right of it, check the N/A box. You cannot leave these fields blank.

      • Required Fields: Last Name, First Name, Address, City or Town, State, Zip Code, Date of Birth, U.S. Social Security No., Citizenship Status
      • Optional Fields (you may select N/A for these): Middle Initial, Other Last Names Used, Apt Number, Employee's E-Mail Address, Employee's Telephone Number

    Note: Once you select your citizenship status, the other citizenship fields will automatically fill in as N/A, or they will prompt you for more information if required based on your citizenship status.

    5. Click "Sign" at the bottom of Section 1 after completing all fields.

    6. Verify your information on the Electronic Signature page.

    Because you are filling out this form online, you'll need to electronically sign the document by following the instructions on the Electronic Signature page.

    Step 1: Verify your first name, last name, and date of birth are correct by clicking the checkbox next to each item.

    Step 2: Read the displayed statement and click the checkbox next to "I Accept" to acknowledge your agreement with the statement.

    Step 3: Select a signature question from the dropdown list and provide an answer.

    After completing all three steps, click  to move to the next phase of the process.

    6. Print a Section 1 Receipt (Optional).

    You may view and print a receipt of Section 1 of the Form I-9 for your records.

    Click on the bottom right to proceed.

    You have now completed Section 1 of the Form I-9 Process. The next steps must be completed in the presence of an Authorized Representative and require your identifying documents, outlined below.

     

    SECTION 2: Complete with an Authorized Representative

    1. Confirm you have the required documents available.

    In preparation for completing Section 2 of the I-9 form when you meet with your Authorized Representative, please review the Lists of Acceptable Documents that appear on the screen and be prepared to present one original document from List A, or alternatively, a combination of one original document from List B and one original document from List C.

    You will also need to upload scanned copies of these documents or scan and email them to your MBO Enrollment Manager. Instructions on this will follow after your Authorized Representative completes Section 2.

    2. Work with your Authorized Representative to complete Section 2.

    You will need an Authorized Representative to continue with Section 2 of the Form I-9. As mentioned above, an Authorized Representative must be at least 18 years old and able to understand the Form I-9 instructions written in English. We recommend you complete all I-9 steps in your Authorized Representative's presence, to make things easier and quicker. However, you can also complete Section 1 on your own, then email them the instructions and meet with them later to complete the entire process.

      • Recommended: If you are with your Authorized Representative, they must click the link embedded in the Verifier Instructions to begin Section 2 of the Form I-9 process. You can simply pass your mobile device, tablet, or keyboard/mouse over to the Authorized Representative to initiate Section 2.
      • If you are not in the presence of your Authorized Representative, copy and paste the Verifier Instructions text in its entirety and email it to your designated Authorized Representative.

    3. Your Authorized Representative clicks the Start button to begin Section 2.

    Note: You may click Update next to Section 1 if you need to update any of your already-completed Section 1 information. Otherwise, continue to Section 2 with your Authorized Representative.

    4. Your Authorized Representative reviews your documents and enters the document information.

    Present your documents to the Authorized Representative. Recall you must have one List A document or a combination of one List B and one List C document. Your Authorized Representative will review the documents and enter the document information in the designated field. As needed, please refer to the USCIS List of Acceptable Documents.

    The Authorized Representative must select the dropdown box under Document Title, choose the relevant type of document, then enter the document information in the required fields.

    If your Authorized Representative notices that previously-entered information is wrong, they can prompt you to make changes. They must click "Go Back" in the bottom right to return to the Welcome page. To the right of Section 1, they will click "Update," and then "Continue with Employee Correction." At that point, you will make the necessary Section 1 edits and electronically sign the form using the same steps outlined above. Then your Authorized Representative can resume completing Section 2. 

    5. Your Authorized Representative enters their information in the Certification area of Section 2.

    After entering your document information, the Authorized Representative must complete the Certification area of Section 2.

    In the Title field, they should put Authorized Representative. They must then enter their last name and first name. The other fields (Employer's Business or Organization Name, Employer's Business or Organization Address, City or Town, State, and Zip Code) will auto-complete and cannot be edited. Don't worry; they are correct. Leave the Employee's First Day of Employment as it is listed.

    The Authorized Representative then clicks after completing the above fields.

    6. Your Authorized Representative must electronically sign the document.

    Have your Authorized Representative follow the instructions listed under Electronic Signature.

    They must click all three checkboxes verifying their name, that they have carefully examined your documents, and that they understand by entering the pin number they are electronically signing the document.

    A 4-digit PIN number appears in the "Your PIN" field. After checking the three boxes, the authorized representative enters the 4-digit PIN number in the "Enter PIN" field.

    They must click after entering the PIN and checking the three boxes.

     

    Submit required documents

    1. Submit required copies of your identifying document(s).

    In accordance with E-Verify, MBO Partners must receive copies of the documents identified in Section 2 of the Form I-9. Copies of these documents are securely stored and are only retained for mandated audit purposes.

    On the Obtain Document Copies page, you will be presented with two options to submit your documents to MBO. Please click "Digital Upload," to expedite your MBO enrollment process. To digitally upload, you must scan the documents to your computer, or take a picture of them on your device. Then follow the below steps.

    2. On the Obtain Document Copies page, select the circle next to "Digital Upload" and then click "Next."

    3. Click the "Upload Document" button to upload your List A document or first document from List B or C.

    You will be prompted for documents based on which document(s) you presented to your Authorized Representative in Section 2.

    4. Click "Browse File" to find the document on your device, or drag and drop the document file to the "Drop Files Here" area.

    5. Click the "Upload" button after you locate your file.

    6. When the document successfully uploads, a green check mark will appear next to "Status." Then click "Finish."

    7. You will see that the document has successfully uploaded.

    8. If you used additional identifying documents during Section 2, continue uploading until you have uploaded all required documents. Repeat the above steps for each document.

    9. After you have uploaded the documents, the below Confirmation message appears. Click "Next" to move forward.

    9*. Not Recommended - If you cannot upload your documents at this time, go to the Confirmation section and click the circle next to "No, I am unable to upload document copies at this time." Then click the "Next" button. You must work with your Enrollment Manager to provide the required documents.

    10. Click "Done" on the page that opens.

    11. You have completed your portion of the I-9 process!

    Your MBO Enrollment Manager will work with you to complete the rest of your MBO Partners onboarding.

    *If you do not upload your documents online, you must work with your Enrollment Manager to provide the documents via email or fax.
